Job Description:

We are looking for a motivated and organized Administrative Secretary to join our team. The ideal candidate will handle communication with international suppliers, manage shipping and order follow-ups, and perform general administrative and secretarial duties.

Key Responsibilities:

• Communicate effectively with international suppliers regarding shipments, orders, and updates.

• Coordinate and follow up on shipping schedules and order processing.

• Organize and maintain filing systems, records, and office documents.

• Manage correspondence, emails, and phone calls professionally.

• Arrange meetings, travel plans, and office events.

• Take and distribute meeting minutes.

• Maintain schedules, calendars, and databases.

• Develop and refine office systems and work procedures.

• Handle internal and external mail distribution.

• Provide exceptional customer service and ensure smooth office operations.

Qualifications & Skills:

• Bachelor’s degree in Management, Business Administration, Marketing, IT, Languages, or a related field.

• Proficiency in spreadsheets, word processing, and database management software.

• Strong English language skills (grammar, spelling, punctuation).

• Experience in documentation, communication, and information management.

• Excellent communication, planning, and organizational skills.

• High attention to detail, confidentiality, and time management.

• Customer service orientation with strong interpersonal skills.

• Reliable, stress-tolerant, and proactive with good initiative.

• Up to 2 years of relevant experience preferred.
